Association Project Coordinator

The Lynx Group is seeking an Association Project Coordinator who will support the Association team by providing administrative support and coordination for all projects related to AONN+, AVBCC, AIIH, and other association special projects, and planning and logistics as assigned in support of related programs (including live meetings, print collateral, and online activities), in addition to sales support.

  • Assist, under the supervision of the Director of Association Project Management, in all administrative functions related to assigned projects (live, print, and online), support of AONN+ committees, and coordination of AONN+ committee meetings, live conference/summit content, and production and routing of marketing collateral
  • Manage all AONN+ customer service activities, including responding to voice message and e-mail correspondence
  • Provide the AONN+/AVBCC sales team with support as assigned
  • Create online registration; manage faculty, attendee, and membership databases
  • Prepare and route all correspondence for review by appropriate internal stakeholder(s)
  • Order, pack, and ship supplies and other items as needed for all conferences and tradeshows; coordinate shipments with internal stakeholders and vendors
  • Responsible for any marketing mailings, updating and maintaining promotional items and documents, and updating and replenishing marketing collateral as needed
  • Support on-site meeting registration; serve as an ambassador for the company, ensuring that all hospitality requirements are met
  • Route and keep track of all documents for design, editorial, and production for assigned projects/programs
  • Provide regular status updates and maintain timelines; ensure project information is circulated to internal stakeholders

Required Education/Experience:

Internship or other related experience


  • High School Diploma

Computer Skills:

  • Proficiency with Internet and suite of Microsoft Office, especially Word, Excel, PowerPoint, and Outlook


  • Ability to work independently and manage multiple projects simultaneously
  • Excellent communication, interpersonal, analytical, and problem-solving skills
  • Excellent time-management skills
  • Ability to maintain projects within budgetary specifications
  • Ability to work well in a team
  • Ability and willingness to take direction from several key stakeholders to achieve results
